Post Tuition Fees

Jackrabbit offers much flexibility in mass posting tuition fees to your families (billing your families). Two billing methods allow you choose to charge tuition based on a class fee, based on the number of hours of class instruction, or using a combination of both methods. Fixed Fees and tuition discount features can be also utilized when mass posting your tuition fees to further accommodate your billing/fee structure.

Billing Methods

Jackrabbit offers 2 methods for mass billing your tuition (posting tuition to multiple families at one time):

  1. By Class Tuition Fees - Tuition is based on the class tuition fees. Post Tuition Fees is used to post tuition.
  2. By Total Hours - Tuition is based the total number of hours a student or family of students is in class(es) over a period of time. Post Tuition by Total Hours is used to post tuition.

You can opt to use both billing methods or just one. For example, if you offer music classes that are billed by total hours and dance classes that are based on a class fee you will use both billing methods. If your facility only offers classes that are based on total hours you can remove the class tuition billing method and only use the total hours method.

 


Edit All Classes from the Classes menu is a quick and easy way to edit the Tuition Billing Method on your classes!

 

All Jackrabbit databases are set to have both billing methods selected in the Tuition Settings located under the Tools menu > Edit Settings.

 

 

If you only use one billing method remove the checkmark for the other method and save your changes. Note: If both billing methods have been used in classes in your database you will see a warning prompting you to change the billing method on all classes to one billing method before you can edit your tuition settings.

The user must have the Post Tuition Fees permission (Transactions section) to edit the Tuition Billing Method.

 

When both billing methods are selected:

  • The Tuition Billing Method is assigned for each class on the Summary tab by the Jackrabbit user. The drop-down options are: blank, By Class Fee, and By Total Hours.



  • Both Post Tuition Fees and Post Tuition by Total Hours are available in the Transactions menu.
  • Post Tuition Fees will only include classes marked with a Tuition Billing Method of either blank or By Class Fee. Classes with a billing method of By Total Hours are omitted.
  • Post Tuition by Total Hours will only include classes marked with a Tuition Billing Method of either blank or By Total Hours. Classes with a billing method of By Class Fee are omitted.

 When only By Class Fees is selected: 

  • Jackrabbit assigns the By Class Fee billing method to all classes and hides the Tuition Billing Method field from the Summary tab of the Class record so that it cannot be accidentally changed.
  • Only Post Tuition Fees is available in the Transactions menu, Post Tuition by Total Hours is no longer shown.
  • Post Tuition Fees will only include classes marked with a Tuition Billing Method of either blank or By Class Fee. Classes with a billing method of By Total Hours are omitted.

When only By Total Hours is selected: 

  • Jackrabbit assigns the By Total Hours billing method to all classes and hides the Tuition Billing Method field from the Summary tab of the Class record so that it cannot be accidentally changed.
  • Only Post Tuition by Total Hours is available in the Transactions menu, Post Tuition Fees is no longer shown.
  • Post Tuition by Total Hours will only include classes marked with a Tuition Billing Method of either blank or By Total Hours. Classes with a billing method of By Class Fee are omitted.

Post Tuition Fees by Class

When you are utilizing the By Class Tuition Fees billing method you will use the Post Tuition Fees (PTF) function from the Transactions menu to mass post tuition to your families. Tuition is based on the Tuition Fee as assigned on the Summary tab of the Class record. PTF only looks to classes with a billing method of either blank or By Class Fees. Classes with a billing method of By Total Hours will not be considered. See Post Tuition Fees by Class for details.

Post Tuition by Total Hours

If some, or all, of your classes are set to have a billing method of By Total Hours you will use the Post Tuition by Total Hours function from the Transaction menu to mass post tuition to your families. Tuition is based on the total hours of instruction (as per the Duration assigned on the Summary tab of a Class record) in conjunction with your fee schedule. The hours can be totaled by family or by student. PTFH only looks to classes with a tuition billing method of either blank or By Total Hours. Classes with a billing method of By Class Fees will not be considered. See Post Tuition by Total Hours for details.

Fixed Fees

There may be cases where your tuition structure does not accommodate the mass posting of fees for all of your families with the tuition posting options offered. For these instances Jackrabbit offers Fixed Fees which will override all other tuition fees and discounts that would otherwise post during Post Tuition Fees or Post Tuition by Total Hours. These fixed fees can be assigned at the family level, the student level, or a combination of both. See Fixed Fees for details.

Tuition Discounts

Discounts on tuition for families with multiple students or for students that take multiple classes are commonly offered. Other discounts may include: military family, discount for prepayment, scholarship, etc. There are several options for applying discounts to tuition fees when mass posting your fees using Post Tuition Fees and/or Post Tuition by Total Hours.
